Define stages people can apply consistently
Write a short entry and exit rule for each stage: new enquiry, qualified conversation, proposal, decision and closure. Avoid stages that mean different things to different team members. Each open lead should have an owner and a next step.
Clean the information before importing
Review duplicates, contact details, lead sources and notes. Decide which fields are essential for routing and reporting. Import a small test group first and check whether the records are useful to the people who will actually work them.

Should every conversation be automated?
No. Routine routing and reminders can be automated, while sensitive questions and exceptional requirements need a human owner. Document the escalation route before increasing automation.
